Email Marketing for Small Businesses: How It Works and Why It Still Matters

Email marketing lets a business reach people who chose to hear from it, without paying per view. How it works, what Gmail now expects from senders and how to start a list the right way.

Email marketing means sending useful, regular emails to people who have agreed to hear from your business, such as updates, offers, tips or reminders. Unlike social media, where platforms decide who sees your post, an email list is an audience you can reach directly, without paying for every view.

Many small businesses skip email because WhatsApp and Instagram feel more immediate. But email remains the standard for receipts, confirmations and longer updates, and a permission-based list keeps working even if a social platform changes its rules.

How does email marketing work?

  1. People join your list through a sign-up form, at checkout or at your counter, after clearly agreeing to receive emails.
  2. You send emails through an email marketing service rather than your personal inbox, so you can manage subscribers, unsubscribes and reports.
  3. Each email has one clear purpose: share a tip, announce a new batch, remind about a renewal.
  4. You review results, such as clicks and replies, and adjust what you send.

What does Gmail expect from people who send email?

Gmail's email sender guidelines set rules that affect whether your emails reach the inbox. For "bulk senders", which Google defines as those sending around 5,000 or more messages a day to Gmail accounts, the main requirements are:

  • Authenticate your email with SPF, DKIM and DMARC, so Gmail can confirm the message really comes from your domain.
  • Offer one-click unsubscribe in marketing messages and honour requests promptly.
  • Keep spam complaints low. Google advises keeping the user-reported spam rate below 0.1% and never reaching 0.3%, and its sender FAQ notes that senders above 0.3% are not eligible for delivery mitigations.

Even if you send far fewer emails, these are good habits. Most reputable email marketing services help you set them up.

How should you build an email list?

  • Ask for permission clearly. Tell people what they will receive and how often.
  • Never buy email lists. People who did not sign up are more likely to mark you as spam, which damages delivery for everyone on your list.
  • Offer something useful for signing up, such as a checklist, a discount or early access.
  • Collect only what you need, usually a name and email address, and explain how you will use it.

Which numbers should you watch?

Clicks and replies tell you more than opens, because privacy features in many email apps can make open counts unreliable. Also watch unsubscribes and spam complaints: a sudden rise usually means the content or frequency is not what people expected. Connect email links to your website reports with UTM parameters so you can see which emails bring enquiries.

Her View

Write like a person, not a brochure. A short, warm email signed by a real name often gets more replies than a heavily designed one.

His Insight

Consistency beats volume. A dependable monthly email people look forward to is worth more than frequent messages that slowly push subscribers to unsubscribe.

Frequently asked questions

Is email marketing still useful in India when everyone uses WhatsApp?

Yes, for many businesses. Email suits longer updates, documents, receipts and professional audiences, and it works alongside WhatsApp rather than replacing it.

Can I send marketing emails from my Gmail account?

For a handful of personal messages, yes. For a list, use an email marketing service that manages unsubscribes, authentication and reporting properly.

How often should I email my list?

As often as you have something genuinely useful to say and can keep up the pace. For many small businesses, that is weekly to monthly.
